Invite bidders to tenders

The Tender module manages your tenders and the bidder's bids. This is done by creating tenders, setting up requirements, and inviting bidders. A questions-and-answers section and other tools in Tender are used for managing the tender process successfully.

How to invite bidders to tenders

User rights

To invite bidders to a tender, you must be part of the 'Tender administrators or the 'Tender responsibles' user group.

To invite bidders you need to create a group for the new bidder, which you can add the bidder to. Bidder groups contain individual bidders from a company and are used to group users from the same company together.

Create bidders

To create a bidder/group, select the tender that you want to invite bidders to then click on Bidders Create new bidder:

You can also create a bidder from the company catalog - this requires a company profile. 

Add users to bidder groups

When you have created the bidder groups, you need to add people to them. To do so,

Select the group Add  Type in the email of the person you want to invite:

When you have invited a person to bid, they will be sent an email that needs to be accepted:

When accepted, the bidder will be prompted to create a Dalux user.

 Tips and tricks

You can resend the invitation to a tender if the invitee cannot locate the email or accidentally deleted it.

Manage bidders

When the bidders have been invited, you can manage them from the bidders' section of the tender. Select a group to see the users added to this group and their role in the tender:

Roles

There exist two roles for bidders:

  • Bid responsible
  • Observer

The only one that can place a bid is the bid responsible. There's a limit of 1 bid responsible per bidder group meaning that only one person from a company can bid on a tender.

There can be as many observers as is invited. Observers can view all the same content as the bid responsible such as tender material and information, messages, their company information, and bid. They cannot change anything or place bids.

You can also see a list of all the bidders for the tender. Click  Bidders:

You can also delete groups or rename them by clicking on in the top right corner of the group:

They will be moved to the 'Deleted/Unsubscribed' category from which they can be recovered by clicking on the three dots in the top right corner of the group and clicking 'Restore'.
