How to set up and scan QR codes for Rooms in FM

This article covers generating and using QR codes for rooms in your buildings.

QR codes placed on the location will allow users to scan the code with the Dalux FM or Dalux HelpDesk app to instantly open the location and see the various registrations and information linked to the room. After scanning a QR code, you can also quickly create new tickets or work orders.

How to create QR codes for rooms

To generate QR codes, go to Locations in the sidebar,  then select Room.

In the list view, you can select the rooms for which you want to generate QR codes.

Click More Generate QR-codes.

You can customize the fields you want printed along with the QR codes and add a logo to the print.

The QR code print can show up to 3 lines of text. Opting for 'Large text' will increase the text size but limit the data to two fields with 7 characters each per line.

You can choose from predefined values or user-defined fields added to rooms in the settings from the drop-down menu.

A custom prefix can be added. Prefixes can help users better understand what room the QR code is connected to.

You can use the icon to rearrange the printed fields by moving them up or down.

 When done click on 'Generate' to create the QR codes. They can then be downloaded, so you can print them and put them on location.

How to scan QR codes with the Dalux FM Mobile App

To scan a QR code with the Dalux FM app, open the app and click on the QR code button in the top right of the screen.

Note that the Dalux FM App will only open QR codes for the instance you are logged in to. If you work with multiple Dalux FM instances, make sure to switch to the correct one before scanning the QR code.

When the code is scanned, the Dalux FM App automatically opens the room. From here, you can (depending on user permissions):

  • Show room (See and edit room information)
  • See work orders or tickets in the room
  • Create new work orders or tickets for the room

Clicking on 'Show room' will show the information for the room. You will be shown data such as the placement of the room in the building, room properties, and any user-defined fields you have created.

If you have edit permission for room data, press the -icon to edit the room information. Note that you can only edit room properties and user-defined fields.

Back on the room screen, you will also see a list of all work orders or tickets for the room. You can press to open these. The date shown is the deadline set for the work order or ticket. You can press to open these to see the full information.

 You can also press the -icon to open a quick response menu.

Note that the response options will vary depending on permissions and roles in the Dalux FM instance.

Lastly, new tickets and work orders can be quickly created by pressing the -icon. When tickets are created this way, the room is automatically added to the location data.
