Document control

As a design manager, it is essential to implement effective document control to ensure that your team's designs and plans are appropriately managed and integrated seamlessly throughout the project lifecycle.

Ensuring that your team and other stakeholders have the correct, up-to-date versions of these documents is critical to preventing costly errors and delays.


Dalux's key features, such as version control, easy access for architects, engineers, and contractors, and the ability to track design changes, provide a strong foundation for effective collaboration.

Version control and tracking

When uploading files to Dalux, selecting a permanent folder and keeping the file name consistent is important.
This approach ensures that the document is stored in a single location, from which you can use Dalux's features to assign it to specific phases (version sets), initiate reviews (review packages), or publish it for construction.

This ensures that all team members are working with the current, approved version of the document - depending on their role in the project.

Dalux Box automatically tracks document versions/revisions and maintains a complete history of changes. Only the latest approved version is displayed and immediately accessible, while previous versions are hidden below but can still be downloaded for future reference.

Access permissions and role-based control

Only authorized users should be able to upload, release, and approve documents in certain folders.

Dalux Box offers access control features that allow administrators to set permissions for specific user groups on folders.

In this case, the architect will be able to view documents in all the folders, but will only be able to upload to his or her own folder.

Only designated personnel, such as project managers, design managers or BIM coordinators, should be authorized to publish documents.

Documents must pass through a structured workflow before they are released for use on-site, ensuring that they meet quality standards and regulatory requirements.

Dalux Box supports customizable workflows that enable a controlled review and approval process. Documents can be routed to specific team members or departments for approval, with automated notifications to ensure tasks are completed on time.

Folder structure

Make sure that the folder structure can be used across the different stages of the project, so that files can remain in the same folder; do not create them per stage, phase, or process.

Always use a classification or numbering system. This makes it easier to navigate regardless of language.

Enable at least two file areas to give the design team an area for coordination before making files available to the contractors.
