This article will explain how to manage files within the documents menu of the Documentation module.
The Documentation module is the main storage area for files uploaded to Dalux FM, from estates, buildings, lots, assets, products, service agreements, and projects.
With this module, you can search, link, and manage your files, from a central location.

User rights
To be able to upload and delete documents, the user needs to be an administrator or have a user role with edit permission under Documentation.
Home

Home provides different ways to view your files, such as by type, placement, and recent uploads.
- Find by document type: If you want to search for files by type, you can filter them by document type, location, and then building.
- Find by placement: if you want to search for files by placement, you can filter them by location, building, and then document type.
- Recent files: The six latest files uploaded will be shown in this list.

The All documents folder displays the files in a list view. From this view, you should create saved filters to organize and share the content.

When you select a file, the top toolbar will display the following tools:

Upload: This will upload a new file to Dalux FM.

Download: This will download the currently selected files from the list view.

Send: This will send a zip file of the currently selected files as an email.

Show: This will show the selected file in the Dalux Viewer.

Link to: This will link the currently selected files to another area of Dalux FM. This is explained in detail below.

Delete: Permanently delete the selected files.

Versions: Show all the file versions of the currently selected file.

Export to Excel: Generate a report containing the metadata of the files you currently have selected, along with the visible columns in the list view.
To open a file, double-click on it or select it and click Show on the toolbar.
Dalux viewer
The viewer is divided into several areas.

- Toolbar: The currently available tools are displayed at the top.
- File properties: Contains data from the file and Dalux. Data cannot be manually changed from here.
- Drawing discipline: (Only visible if this is a floorplan) Display the drawing discipline and sub-discipline. Data can be changed directly from here.

Linked to: A list of current areas where this file is linked to. You can navigate directly to the area by clicking on them. Data can be changed via
Link to in the toolbar.
- Properties: This lists the Dalux and custom properties of the file. Data can be changed directly from here.
- Viewport: The content on the file is displayed here.
Viewport
The behavior of the viewport varies, based on whether the file is an active drawing on a floor plan or not.
Active drawing on a floor plan

An active drawing on a floor plan is indicated by the blue banner below the toolbar.
- Left mouse button: Pan around the drawing.
- Middle mouse button: Zoom in and out. Hold down the CTRL to slow down the zoom speed.
- Right-side tools: This will return your view to the default view and allow you to zoom in or out like with the middle mouse wheel.
- Measure: If your floor plan includes a scale, you can also create length and area measurements.

- Left mouse button: You can mark text with the left mouse button.
- Middle mouse button: The middle mouse wheel has two functions. You can scroll up or down or you can zoom in or out by holding down the CTRL.
- Left-side tools: This will allow you to zoom in or out like CTRL + middle mouse wheel.
Toolbar
The top toolbar displays a set of tools depending on where the file is linked to. Keep in mind, that not all tools are available for all files.

Download: This downloads the latest version of this file.

Versions: This lists all the versions of this file, and you can download an older version from the list, by clicking download.

Link to: This tool allows you to change the link to where this file is used. Removing a link does not delete the file.

Update file: This tool will upload a new file version of the document.

Convert to floorplan: If the document is linked to only ONE building, you can convert it to a floor plan and link it to a specific floor.
Technical information
Warning: Keep in mind that floor plans may include room data that affects your building, so double-check any changes you make.
Floor plans will be identified by a blue banner and the link will also contain a link to a floor.
- Adjust scale: If this is a floor plan and the building does not contain a 3D model, you can adjust the scale here. This is a requirement before using measurements.
- Map to 3D: A floor plan can be mapped to the 3D model, so the 2D cut from the model aligns with the floor plan.
- Remove from floor: Remove the floor plan from the level and remove any data it provided to the building, such as gross area and rooms.
Link To
User rights
To link files to and from documents, the user needs to be an administrator or have 'Edit' permission under Documentation and the linked module.
Files that are stored under the Documents section can be linked to other areas of the Dalux FM.
To link a file to another area, select the file and click Link to in the toolbar.
A list of options will appear based on the modules used and user permissions.
When you select an area to link to a new window will open.

To select the items, you want to link with this document, you can use the two windows displayed on the screen.
The left window shows all the available items to choose from, while the right window shows the items that are already linked to this document.
You can select multiple items by using the CTRL and SHIFT keys, and then move them between the windows using the double arrows.

Click 'Select' when you are done editing the items.
