How to set up Tasks

This article will go over the setup needed before you can create and use tasks in your Dalux project.

Task templates

Task templates are used to define the type of task that you are creating. 

Before you can create tasks, you need to create task templates for those tasks. To create task templates, go to:

Settings Field 'Task templates'.

This will open a new window from where you get three options to create task templates. You can:

  • Create a new task template
  • Copy a task template from another project where you have administrative rights
  • Copy a task template from a company (a company profile is required)

Task templates are often created to handle defects, deviations, information requests, and other similar tasks. It is advisable to create task templates specific to the project.

Using descriptive and appropriate names for the tasks will help users choose the correct task for the job more easily.

Creating tasks templates

When you create a new task template, you need to give the task a name and a prefix. The name is the task type, and the prefix is used to categorize the tasks. Each task created will be marked with a prefix and a unique number. For instance, if the prefix 'S' is used, the first task will be marked as S1, the second task as S2, and so on.

Tasks templates are created using the different template data fields. You can read more about each field in this article: Template data fields for tasks and checklists.

All new task templates will include:

  • Subject (required)
  • Responsible (required)
  • Deadline (can be removed)
  • Location
  • Attachments
  • Description

It is possible to set the deadline, the location, and the description as required for the task template as well. This means that this data will need to be filled out before the task can be created. The deadline can also be removed.

To do so, click one of the data fields or hover the mouse over one of the areas and click the -icon Edit or Remove.

The template can be customized by dragging the data fields from the list and into the template. To remove data, it can be dragged to the -icon.

If you need to change the name of the task or prefix, click 'Settings' at the top. From this menu, it is also possible to set:

  • Enable creation of new tasks - This is whether the task template is activated or not.
  • Can be approved upon creation - This is whether the task can be instantly approved at creation. Can be useful for tasks such as registrations, that do not need a response.
  • Can change workflow - This is whether a task can move from one workflow to another. This can be useful if tasks need to be sent between different contractors for instance.

To be able to create tasks, you first have to set up work packages for your project. Work packages define how tasks are assigned to project participants in your project. To learn more about work packages and workflows you can read this article: Work Packages and workflows.

Tasks are always automatically assigned a status. Tasks will change status depending on who is viewing them, and where the task is located in the workflow. To learn more about task status, you can read this article: Task statuses.

Deleting tasks and task templates

 WARNING

You cannot delete a single task. Project administrators can delete a task template and the associated tasks if there are fewer than 20 tasks created with the template. This is only intended for deleting task templates used for testing. Tasks can however be marked as discontinued.

To discontinue a task, go to

Field Tasks Click on the task  More Mark as discontinued.

To delete all tasks of a certain type, start by going to:

Settings Field 'Task templates' Click on the task type Edit.

This will open up the editor window for that task type.

Click More 'Delete tasks 'Send code' Type in the code you received by email 'Delete tasks'.

This is only possible if there are fewer than 20 tasks for the selected task type.

 WARNING

This will delete all the tasks that have been created of this type!

To delete a task template, you must ensure that there are no tasks in the project that are currently using that template. You can delete templates from the following location:

Settings Field 'Task templates' Select a template Delete.
